How much office space do you need?

Plan your next office by headcount and work style. Footprint adds workstations, private offices, meeting rooms, support areas and circulation, then converts usable space to rentable square feet and annual rent.

    How office space is calculated

Office planners start from the people and activities that will use the space, not from a rule like "200 square feet per person". This calculator follows a simple version of a professional space program: assigned space (desks and private offices) plus shared space (meeting rooms, reception, kitchen) gives the net area; circulation and support raise it to usable area; and the building's load factor converts usable to rentable area, which is what you pay for.

    Rentable sq ft = (assigned + shared) × (1 + circulation %) × (1 + load factor %)

    Workstation sizes

Open benching desks need about 40 – 50 sq ft each, standard 6×6 to 8×8 cubicles 36 – 64 sq ft, and large executive workstations 80 sq ft or more. Private offices typically range from 100 sq ft (small) to 150 – 200 sq ft (manager) and 250+ sq ft (executive). Hybrid teams that come in two or three days a week often provide desks for 60 – 80 % of staff and book them on demand.

    Meeting and support space

Plan roughly 25 – 30 sq ft per seat in a conference room including the table and circulation – an eight-person room is about 200 – 250 sq ft. Phone booths for one person need 25 – 40 sq ft. Kitchens and break areas use 5 – 12 sq ft per employee, and you also need room for printers, storage, an IT closet and a mail area.

    Usable vs rentable square feet

Usable square footage is the space inside your suite. Rentable square footage adds your share of the building's common areas – lobbies, corridors, restrooms and mechanical rooms. The ratio is called the load (or loss) factor and is usually 10 – 20 % in suburban buildings and 15 – 25 % in city towers. Two listings at the same price per square foot can therefore cost very different amounts for the same usable space.

Office styleTypical rentable sq ft per person
    Call center / dense open plan100 – 125
    Modern open office150 – 175
    Mixed open + private offices175 – 225
    Traditional private-office firm (law, finance)250 – 350

    Understanding the rent

Commercial rent is quoted per square foot per year in the US (per month in some markets) and may be gross (operating costs included), modified gross or triple net (NNN), where you pay a share of taxes, insurance and maintenance on top. The calculator adds an operating expense line so you can model either. Don't forget fit-out costs, furniture, IT cabling, moving and deposits, which often equal six to twelve months of rent.

    Frequently asked questions

How much office space per employee?

Most modern offices use 150 – 250 rentable square feet per employee including shared areas. Dense open plans can go down to about 100 – 125 sq ft.

What is the difference between usable and rentable square feet?

Usable is the area inside your suite. Rentable adds your share of building common areas through the load factor, typically 10 – 25 %.

How big should a meeting room be?

    Allow about 25 – 30 sq ft per seat: a 4-person room is roughly 100 – 120 sq ft and an 8-person room 200 – 250 sq ft.

How do I calculate monthly office rent?

Multiply rentable square feet by the annual rate per square foot (plus operating expenses if the lease is net) and divide by 12.

How much space for hybrid work?

Hybrid offices often provide desks for 60 – 80 % of staff and add more meeting rooms and phone booths, cutting total space by 20 – 30 %.

Every formula on this page runs entirely in your web browser. The numbers you type are never uploaded, stored or shared. Our goal is simple: give you an honest starting point so you can compare product specifications with confidence and avoid paying for capacity you do not need – or buying something too small to do the job.

The methodology combines widely published engineering rules of thumb, manufacturer data sheets and the electrical code practices that installers use every day. We review the assumptions regularly and update the calculator when typical product specifications change.
